Privacy Policy

DispatchAnswer is a founder-run business in Commack, NY. We answer, qualify, and book phone calls for appointment-based service businesses. This policy explains what information we collect, why, who handles it for us, and how to get it corrected or deleted. It covers three groups of people: visitors to this website, business owners who contact us or respond to our ads, and people who call a business that uses DispatchAnswer.
The short version: we collect what you give us so we can do the job you asked for, we do not sell it, and you can ask us to delete it at louis@dispatchanswer.com.
1. What we collect on this website
Forms. If you fill out our intake or callback form, we collect what you type: your name, shop name, phone number, email, roughly how many techs you run, and (optionally) your website. The missed-call calculator form also sends the numbers you entered — average job value and missed calls per week — plus the loss estimate it computed, so we can email you the report you asked for.
Booking. If you book a setup call, scheduling runs through Cal.com, which collects your name, email, phone number, and your answers to the booking questions.
Analytics.We run a first-party analytics beacon that records which parts of the site get used — event names like “booking opened,” nothing more. It sets no tracking cookies and contains no personal information. We also use Vercel Web Analytics for aggregate page-view counts.
Error monitoring. We use Sentry to catch errors on the site. Sentry is configured to exclude request bodies and IP addresses, specifically so lead details never end up inside error reports.
Advertising measurement.When our ad campaigns are active, this site loads the Meta Pixel, which uses cookies to measure which ads lead to form submissions and booked calls. We send Meta the fact that an event happened (for example, “submitted the form”) — never your form answers, name, or phone number. When no campaigns are running, the pixel is not loaded at all. Meta’s own privacy policy governs how Meta processes this measurement data.
2. What we receive from Meta lead ads
If you submit one of our lead forms on Facebook or Instagram (a Meta “Instant Form”), Meta sends us what you entered: your name, business name, phone number, email, your answers to the form questions, and identifiers for the ad and form you used. That data reaches our systems through Zapier, which acts only as a transport. While you are on Facebook or Instagram, Meta’s own privacy policy also applies to how Meta handles your information on its platform — we control what happens to the data only after it reaches us.
3. The DispatchAnswer text-message (SMS) program
DispatchAnswer is the named sender of every message in this program. We send marketing and follow-up text messages using automated technology only to people who gave prior express written consent — captured by a checkbox on our forms that is never pre-checked. You have to check it yourself, and consent is not a condition of purchase. Message frequency varies. Message and data rates may apply.
- Opting out: reply STOP at any time. You will get one message confirming the opt-out, then nothing further. Reply HELP for help.
- Opt-outs are honored immediately and across channels. If you tell us to stop — by text, email, phone, or any other reasonable way — we stop all automated marketing to you, not just texts.
- Quiet hours: we do not send marketing texts outside 8am–9pm in your local time zone.
- Consent records: we keep a record of each consent — when it was given, on which form, and the exact language you saw — because carriers and the law require us to be able to prove it.
4. The voice agent: calls to businesses that use DispatchAnswer
When you call a business that uses DispatchAnswer, the call is answered by an AI agent working for that business, and the call is recorded and transcribed. New York, where we operate, is a one-party consent state; we are adding a spoken recording disclosure to the start of every call as a best practice, and this policy will be updated when that ships.
Calls are recorded and transcribed so the business owner can review them. Recordings and transcripts are stored encrypted. They are never sold, and they are never used to train third-party AI models. Recordings are retained for the period set in our agreement with the business, and deleted on request — the business’s request or the caller’s. To ask for a recording to be deleted, email louis@dispatchanswer.com.
5. Who handles data for us
We are a small company and we use established providers to run the service. Each one receives only what its job requires:
- Vercel — hosts this website and provides its aggregate web analytics.
- Sentry — error monitoring (configured to exclude request bodies and IP addresses).
- Airtable — stores lead, consent, and opt-out records.
- Cal.com — scheduling for setup calls.
- Retell — the telephony infrastructure the voice agent runs on, including call recording and transcription.
- Quo (formerly OpenPhone) or Twilio — delivers our text messages.
- Meta — runs our ads and lead forms on Facebook and Instagram.
- Zapier — transports lead-form submissions from Meta to our systems.
- Resend — sends our transactional email (like the leak report you request).
We do not sell personal information, and we do not share it with third parties for their own marketing. Specifically: text messaging originator opt-in data and consent will not be shared with any third parties for their own marketing purposes.
6. How long we keep information
Lead and consent records are kept for at least five years from the last message sent under that consent — that is the record-keeping posture telecom compliance expects of us. Call recordings and transcripts are kept for the period agreed with the business, and deleted earlier on request. Website analytics events contain no personal information to begin with.
7. Your rights
You can ask us what we have about you, ask us to correct it, or ask us to delete it. Email louis@dispatchanswer.com and we will respond within 30 days. The one thing we may retain after a deletion request is the minimum record needed to honor it — for example, your number on our do-not-contact list so we never text you again, and consent or opt-out records the law requires us to keep.
8. Children
This website and our service are for business owners. They are not directed at anyone under 18, and we do not knowingly collect information from anyone under 18. If you believe we have, email us and we will delete it.
9. Changes to this policy
If we change this policy, we will post the new version here and update the effective date at the top. If a change meaningfully affects how we handle your information — especially anything about the SMS program or call recordings — we will say so plainly rather than bury it.
